How it works

Open the Plan Work board

Select the date you're scheduling. The board shows all your active employees as rows and your projects as assignable slots.

Assign employees to projects

Click an employee's row, choose the project, and enter hours. Override the pay rate if this job pays differently. Repeat for each crew member.

Copy yesterday's schedule (optional)

If your crew is heading to the same sites as yesterday, hit Copy and the entire lineup duplicates to today. Adjust any changes.

Payroll calculates automatically

Every hour logged in the schedule flows into the Payroll report. Totals are broken out by employee and project, ready to hand off to your accountant or payroll service.

Common questions

Is this the same as the Plan Work feature in the app?

Yes — Plan Work is what this feature is called inside Punch Ledger. It's a daily scheduling board where you assign crew members to projects and log their hours.

Does crew scheduling connect to payroll?

Yes. Hours recorded in Plan Work flow directly into the Payroll report, broken out by employee and project. There's no double entry — you schedule once and the payroll numbers update automatically.

Can I set different pay rates for different jobs?

Yes. Each employee has a default pay rate, but you can override it per assignment. Useful when a job pays prevailing wage or a specialist gets a different rate on certain projects.

Does Punch Ledger send crew notifications or reminders?

Not currently. The scheduling board is for your planning visibility and payroll accuracy — it's not a crew communication tool. Many contractors use it alongside their usual group chat or SMS.

What's the difference between crew scheduling and the AI scheduling feature?

The Plan Work board (available on all plans) is manual scheduling — you assign people yourself. The AI scheduling feature, included on the Business plan, is different: it reads your contract, asks clarifying questions about anything missing (like sizes or quantities), and proposes a full visual job schedule (Gantt chart) with crew-per-day and task dependencies for you to review and confirm.
